What’s New in This Release
This release brings smarter availability management with bulk creation and bulk editing, enhanced tiered publishing controls, improved tracking through new navigation tabs, and a redesigned availability detail page with a dedicated schedules view. It also introduces separate discipline and specialisation fields, a new setting to manage student access to preceptor emails, and overall grid performance improvements for a faster, smoother experience.

Bulk Availability Creation
Sites can now create multiple availabilities at once using a streamlined bulk creation flow. Instead of repeatedly entering the same details for each location, department, or unit, users can define shared availability attributes once and apply them across multiple selections in a single action.
Under Add Availability, users can choose between Create Single Availability and Create Multiple Availabilities in Bulk. In bulk mode, one availability is created per selected record while all other details remain consistent across them. Shared attributes include discipline, specialisation, dates, slots, shifts, days of week, descriptions, request fields, and publish preferences.
Important Points:
- Multiple locations can be selected at once, including a Select All option across pages.
- Dynamic naming supports merge fields such as location name, city, year, and availability ID to ensure uniqueness.
- A preview and confirmation step shows how many availabilities will be created and the naming format used.
- Bulk creation runs in the background, with status banners and notifications once complete.
- A Bulk Creation History view provides visibility into past bulk actions and their status.
Possible Use Cases:
- When launching availabilities across multiple locations at the same time.
- During semester or annual cycles, where availability structures remain similar.
- When the same discipline, dates, shifts, and publish settings apply across several departments or units.
Bulk Edit Availabilities
Sites can now update multiple availabilities at once using the new Bulk Edit option from the Availability list. Instead of editing each availability individually, users can apply common updates across selected records in a single action.
From the Availability grid, users can select one or more availabilities and click Bulk Edit to open a side panel. Any selected field updates will apply uniformly across all chosen availabilities. Supported fields as of today include availability name, start date, end date, availability details, eligibility criteria, internal notes, and publish preferences. Additional editable fields will be introduced in future enhancements to further expand bulk update capabilities.
Important Points:
- Bulk Edit is accessible directly from the Availability grid after selecting one or more records.
- Multiple fields can be updated in a single bulk action.
- Only selected fields are modified; all other availability data remains unchanged.
- Updates are reflected immediately across the list and detail views.
- “Last Updated By” and “Last Updated On” are automatically updated for transparency.
Possible Use Cases:
- When shifting availability dates for a new semester, while keeping other details unchanged.
- When eligibility criteria or internal notes need to be updated across multiple availabilities.
- When adjusting publish preferences across multiple availabilities at once, for example, publishing or unpublishing all selected availabilities in a single action.
When correcting naming or descriptive information across multiple records.
Tiered Publishing for Availabilities
Sites now have enhanced control over how and when availabilities are published through an expanded Publish Preferences experience. Instead of selecting a single visibility option, users can configure multiple publish preferences within the same availability.
Using Add Publish Preference, sites can define who can see the availability (Public, All Partners, or Tiered Partners), when it should be published (Now, Scheduled, or Do Not Publish), and optionally set a due date. Visibility rules are additive, meaning if any active publish preference applies to a school, that school can view the availability.
Important Points:
- Multiple publish preferences can be configured within a single availability.
- Visibility can be defined for the public, all partners, or selected partner tiers.
- Publish timing can be immediate or scheduled for a specific date.
- Optional due dates allow automatic removal of visibility for a selected audience.
- Availability visibility is calculated dynamically based on active publish rules.
Possible Use Cases:
- When providing early access to preferred partner tiers before opening to a broader audience.
- When managing demand by publishing availability in stages.
- When granting exclusive or timed access to specific partner schools.
View & Track Availability – New Navigation Tabs
The Availability List view now includes dedicated tabs to help you navigate through different availability segments more easily.
You will now see the following tabs:
- All – Displays all availabilities
- Upcoming – Displays availabilities that will start in the future
- Current – Displays availabilities that have started and are ongoing
- Completed – Displays availabilities that have already ended
Availabilities are automatically categorised based on their start and end dates (end date is inclusive).
This enhancement allows you to quickly navigate between future, ongoing, and past opportunities without applying manual filters.
Availability Detail Page Enhancement & New “Schedules” Tab
The Availability Detail screen has been enhanced for better clarity and organisation.
When you open an availability from the View & Track Availability page, key availability information is now displayed clearly at the top within a structured header layout, allowing you to quickly grasp important details at a glance.
A new Schedules tab has been added within the Availability Detail page.
This tab provides a dedicated view where you can see all schedules associated with that specific availability in one place.
- View all schedules linked to that availability in a contextual grid view
- Calendar view supported (limited to schedules within that availability)
- Contextual search and filter options are available
- Direct access to onboarding, schedule details, and student management
Discipline & Specialisation Now Separate Fields
Discipline and Specialisation are now captured as two independent fields instead of a combined selector.
For every discipline selected, at least one specialisation must be selected (if specialisations exist for that discipline).
- Discipline remains mandatory (multi-select supported where applicable)
- The specialisation field becomes enabled after selecting the discipline
- Specialisations must be explicitly selected
- “Select All” and “Clear All” options are available while selecting specialisations within each discipline
- Inline validation ensures required selections are completed
Important:
- Existing auto-association logic remains intact
- If selected disciplines or specialisations are not linked to chosen locations, they will be automatically associated (with a pop-up notification)

New Setting – Student Access to Preceptor Email
Site admins can now control whether students can view preceptor email addresses.
Navigate to:
Site Configuration → Availability Details → Schedule Details
“Show preceptor contact information to students”
- Default setting: OFF
- When enabled, Students can view the preceptor's email along with their name
- When disabled, Students can view only the preceptor's name
Improved Performance Across Grid Views
Performance has been improved across all site-side grid views to provide a smoother and more responsive experience.
The grid component has been upgraded to enhance loading behaviour and overall interaction.
