This release is built to give site teams greater control and visibility helping you move from insight to action with fewer clicks.
We’ve expanded the analytics available to site users — new dashboard, three new page specific dashboards, and two in-depth reports so you can spot action items quickly and gain valuable insights.
Dashboard
A richer more action-oriented Landing Dashboard that gives you an instant view of what needs attention across the site.
- Carousel & Summary Numbers —highlights the strength and growth of the Exxat One network plus counts for Open Availabilities, Requests Pending Approval, Ongoing Schedules, and Upcoming Schedules.
- Upcoming Schedules Overview —detailed breakdown of upcoming schedules and their onboarding/compliance status.
- Requests Overview —request-aging graph showing how long school requests have been pending since received.
- Recent Activities —live feed of events (availability created/updated, new requests, approvals/declines/cancellations, schedule confirmations/cancellations).
- Clickability — click any dashboard card, chart segment, or number to navigate directly to the appropriate screen with filters pre-applied so you can act immediately.
Availability Management Overview (View and Track Availability)
A new dashboard on the View and Track Availabilities page to help you manage and prioritize your availabilities.
- Summary Numbers: Displays active availabilities across locations, availabilities awaiting publish, availabilities with pending requests, and availabilities starting in the next 30 days.
- Category Breakdown: Displays distribution of active availabilities by experience type (individual vs group), publish type (public, program partners, consortium), and whether slot numbers are specified.
- Availabilities with High Demand: Displays top availabilities ranked by slots requested so you can prioritize follow-up or publish additional capacity.
- Recent Activities:Displays the recently created availability details.
- Shortcuts:Click on any data point from overview to open the Availability list or detailed view with appropriate filters.
Slot Request Management Overview (School Requests)
A Dashboard on the School Requests page which allows you act on slot requests from schools.
- Summary Numbers: total requests and slots requested in the last 30 days, plus counts for Approved, Declined, Pending Review, and In-Progress requests.
- Request Pending Approval Overview:request-aging graph showing how long requests have been waiting since receipt.
- Slot Requests & Approvals (12-month view): month-by-month view of requests by requested start month and their outcome (Approved / Pending Review / In Progress / Declined).
- Request Distribution Heatmap: Displays geographical density of requests across U.S. locations.
- Monthly Request Volume: Displays inflow of requests and slots over the last 12 months
- Recent Activities: Displays a live feed showing new requests and request state changes (approved/declined/cancelled).
- Clickablity: drill from any chart into the Requests list with filters already set.
Schedule Management Overview (Schedules and Onboarding)
Track confirmed and pending schedules including compliance and confirmation actions on a new Dashboard on the Scheduling and Onboarding page.
- Summary Numbers: counts of ongoing schedules, upcoming confirmed schedules, and upcoming schedules pending confirmation.
- Upcoming Schedules Overview: schedule and onboarding status breakdown of upcoming individual and group schedules.
- Schedule Approvals & Confirmation (12-month view): month-by-month trends for schedules (Approved, Confirmed, Compliant).

Location-Wise Engagement & Utilization Report
- Breaks down availabilities, requests, approvals, confirmations, approval/confirmation rates, and average approval time per location.
- Shows counts of ongoing, upcoming and completed schedules by location.
- Fully searchable, filterable, sortable and exportable.
School Engagement & Utilization Report
- Program-level view across the schools you work with: requests made/approved/declined, requested/approved/confirmed slots, approval/confirmation rates, average times, disciplines, locations, unique students and schedule counts.
- Designed to help you understand which schools are most engaged and identify program or discipline trends.
- Fully searchable, filterable, sortable and exportable.
Employee Experiences — Onboarding & Payment Now Supported
- Employee-aware workflows for Students and Clinical Instructors (CIs); verified employees get a tailored path that eliminates duplicate onboarding.
- Choose Skip Onboarding (auto-compliant post-verification) or Custom Employee Onboarding (your employee-specific requirements).
- Payment flexibility for student employees: configure who pays the onboarding fee—Student, Site, School, or skip entirely—while CIs remain fee-exempt.
- End-to-end consistency across Student/CI experience, School views, and Site views ensures everyone sees the same status without manual workarounds.
Employee Visibility
- Employee indicator next to the Student/CI name on Schedules and Onboarding after verification, with mouse hover showing date, time, and verified email so staff can confirm status immediately.
- Dedicated Employee Onboarding Requirements section keeps workflows clear: if Skip is enabled, a concise “Already compliant” message appears; if Custom is enabled, only employee-specific requirements are shown.
- Schools and Sites see the same information, making reviews more transparent and reducing back-and-forth.
Contract Control: Delete with Confidence
- A delete icon is now available for each contract row, with a confirmation pop up before removal, so sites can safely clean up outdated contracts.
- Location sync ensures that deleting a location-specific contract also removes it from associated Location views automatically.
- The Contact Number field is now optional.
Richer Grids and Filters (Availability, Requests, Schedules)
- Availability Duration is now visible directly in the grid. If no end date, it displays as Open Availability.
- Requested Duration (start/end plus total weeks) is added to request lists, reducing the need to click for details.
- Request Pending Duration columns and filters (less than 7, 7–15, 16–30, and greater than 30 days) help track how long requests have been waiting for action.
- Sites can now search by student name on individual schedules and onboarding.
- Upcoming Schedules filters: Next 30, 60, or 90 days or define you own number of days.
- Sorting, pagination, and expanded rows on the Group Schedules screen are now retained when navigating away and returning.
Create Schedules Directly (No Availability/Request Needed)
- Sites can now create schedules directly by selecting a Location (or Location TBD). Discipline/Specialization fields adjust based on the location.
- The number of slots defines how many rows of Student Details can be entered. Fill in details now or later. Schedules are created to match slots the number of slots.
- Once created, these schedules are exactly like standard schedules.
Clear Identification of Mandatory Requirements and Activities
- Onboarding, ongoing, and off boarding items now display a “Mandatory” indicator (icon/asterisk) next to requirements or activities marked as mandatory by the site.
- This indication is visible to students, schools, sites, and faculty, enabling efficient tracking of compliance and progress.
Student Activity Submission Notifications
- Submission Alerts: Receive in-app and email notifications whenever a student submits their first/last ongoing or off boarding activity.
- Actionable Updates: Site users can quickly review the submitted activity within Exxat One.
- Integrated Communication: Sites are guided to connect with students directly via the messaging section in Exxat One, if needed.
Preceptor Assignment for Group Schedules (ACE Placements)
You can now add Preceptors (instead of school-assigned Clinical Instructors) to group schedules. This streamlines ACE placement workflows in nursing by letting site personnel directly supervise students.
- A new Preceptor column is added to the Group Schedule grid, which displays the added preceptors.
- During request approval for group availabilities, you’ll see the option “Do you want to add preceptors to the group schedule?” Selecting this enables preceptor assignment and you can add the desired site personnel as preceptor(s).
- For these group placements, schools do not need to schedule Clinical Instructors; instead, the added preceptor(s) appear in both site and school group schedule views. Students also see their assigned preceptor in Schedule Details.
- You can add/edit preceptors in the group schedule drawer through a drop down of applicable site personnel.
- Onboarding/Compliance logic is adjusted: only student onboarding compliance and school group-level requirements (if applicable) count toward overall compliance. Compliance for preceptor is bypassed, if preceptors are added for the group schedule.
