We’re excited to announce new enhancements in Exxat One for Sites designed to optimize your scheduling workflows, improve filtering and search capabilities, and simplify compliance management for group schedules. These updates will help you manage schedules more efficiently, gain clearer insights into onboarding requirements, and have greater control over your notifications.
Enhanced Schedule & Onboarding Status Segregation & Filtering
We've enhanced the way you view and filter schedule statuses, providing clearer insights into scheduling and onboarding progress. To improve clarity, the status column is now divided into two separate columns: Schedule Status and Onboarding Status.

Schedule Status Options:

To be Scheduled: Schedule created but no student has been assigned to it.

Not Confirmed: Schedules where students have been assigned but not confirmed yet.

Confirmed: Schedules that are finalized and the school has confirmed the student on it.

Canceled: Schedules canceled by you or the school.

Onboarding Status Options:

Not Applicable: The student is not yet confirmed on the schedule.

Non-Compliant: Onboarding or other requirements are incomplete or not approved.

Compliant: All onboarding requirements are successfully fulfilled and approved.
Filtering Enhancements:
You can now filter schedules by Schedule Status (To be Scheduled, Not Confirmed, Confirmed, Canceled) and Onboarding Status (Non-Compliant, Compliant, Not Applicable), making it easier to manage and track schedules.
Improved Filtering & Search Experience
We've enhanced the filtering and search functionalities across multiple screens to boost efficiency and improve the user experience.

Filter Dropdown Enhancements:

All filter values are now fully visible within the dropdown, removing the need for tooltips.

Selected items are now clearly displayed within the filter, along with the total number of selected items.

A Clear Selection button allows you to quickly deselect all items.

A Select All button enables you to instantly select all items within a filter.

A Reset button lets you clear all applied filters with a single click.
Retaining Filters and Search Results:

Filters and search selections now remain consistent across screens, allowing you to navigate away and return without losing your choices.

Your applied filters and search results will be retained, ensuring a seamless experience as you continue from where you left off.

Enhancements in Key Screens:

View and Track Availability Screen: Following columns have been added to the grid:

Availability ID: A unique ID associated with each availability for better tracking.

Discipline/Specialization: Displays the disciplines and specializations associated with the availability.
An "Add Filter" button is now available on this screen, allowing you to display the "Start and End Date" filter when needed. You can easily hide it again by clicking the minus sign next to the filter.

School Requests Screen: We've added a Requested Date Range column to help you track requests more effectively. This column shows the duration of each school request, and you can also sort requests by the Requested Date Range, based on the start date of the duration..

School Requests Board View: Now includes "Requested On" and "Requested Date Range" directly on Kanban request cards.

Requested On: Displays the date of request.

Requested Date Range: Displays the duration for which the request was made.

Schedules & Onboarding Screen: We've added a Schedule ID column in the grid, displaying a unique ID for each schedule. Additionally, Unit Names are now listed in the Location column, following the location names (if applicable).
These improvements allow you to navigate and manage requests, availabilities, and schedules with more ease and precision.
Customizable Notification Preferences
This feature will go live on 27th Feb 2025.
You now have more control over your notification preferences! Under Notification Configuration in Site Configuration Settings, you can enable or disable both email and in-app notifications according to your preferences.

Notifications are now categorized for better management:

Messages: Communication-related notifications.

Slot Requests: Slot approvals, updates, and requests.
-
Schedules: Schedule updates, cancellations, and changes.
-
Onboarding: Notifications related to onboarding requirements.

Category-Level Controls:

You can enable/disable email and in-app notifications for an entire category with one click.

Alternatively, you can configure preferences for individual notification events within each category.
This feature delivers only the updates that matter to you, minimizing inbox clutter and keeping you up to date on key changes.

Selecting Program Type & Sub-Program Type for Group Placement
Now, when creating group availabilities, you can select a Program Type and Sub-Program Type under Pre-Licensure or Post-Licensure.

Pre-Licensure Options: ADN, BSN, CAN, LPN, LPN-RN, Master's Entry.

Post-Licensure Options: Certificate, CRNA, DNP, Master's, PhD, RN-BSN, RN-to-Master's.
Once selected, these details will be visible under the Availability Details in the View and Track Availability screen.
Group-Level Onboarding Requirements
To streamline onboarding for group schedules, we've introduced group-level onboarding requirements. This allows schools to fulfill the requirements or submit attestations, covering the students and clinical instructor of the group.

Creating Group-Level Onboarding Requirements:

Your configured group-level onboarding requirements will now be visible in the Site Configuration > Onboarding Requirements section in the form of requirement group cards, labeled as “Site Specific: Group Level”.

These requirements can apply to All Students across locations, All Clinical Instructors across locations, or All Students and Clinical Instructors across locations, for group schedules.

During group availability creation, these requirements will be automatically attached under Site Level Requirements.

Reviewing Group-level Requirements and Attestations:

Schools can view and submit the group onboarding requirements and attestations at any time once the group schedule has been created.

You can now click on the group-level onboarding status, saying “Non-Compliant” as soon as the group schedule is created, to view the group-level onboarding requirements applicable to students, clinical instructors or both under designated sections.

Once submitted from the school side, you can review the fulfilled onboarding requirements, marking it as Approved or Not Approved.
Note: In addition to the group-level onboarding requirements completed and approved by the school, both clinical instructors and students must fulfill their individual onboarding requirements for the entire group to be compliant and ready for the schedule.
