What’s New in This Release

This release expands site-side scheduling flexibility and visibility with support for Non-Consecutive Dates, Multi-Location Scheduling, and Schedule Blocks across scheduling, calendar, search, notifications, onboarding, reports, and dashboards. It also adds post-placement onboarding compliance review and a real-time Personnel List export.

Non-Consecutive Dates for Site Scheduling

Sites can now specify exact attendance dates for a placement instead of relying only on a continuous date range or recurring days of the week. Non-Consecutive Dates can be managed throughout the site-side scheduling workflow, giving sites greater control over when students are expected to attend.

• Sites can review school-requested Non-Consecutive Dates, keep them as requested, modify the selected dates, add or remove dates, or turn Non-Consecutive Dates off before approving the request.
• Sites can also independently enable Non-Consecutive Dates when a school has not requested them and define the exact attendance dates.
• Non-Consecutive Dates are available across Request Review, Direct Slots, Direct Schedules, Individual Schedule Edit, and Group Schedule Edit workflows.
• Selected dates must fall within the schedule's Start Date and End Date. If the schedule duration changes, dates outside the updated range are automatically removed.
• Non-Consecutive Dates and Days of Week are mutually exclusive.
• Existing Non-Consecutive Dates remain visible in request and schedule grids, drawers, and read-only views, with the dates displayed in the Days of Week column in grids and an indicator with a hover option to view the complete list.
• Non-Consecutive Dates are also included in request and schedule exports.

This gives sites the flexibility to define and manage precise attendance dates throughout the placement lifecycle.

Multi-Location and Schedule Blocks

Sites can now manage more complex placements where students may rotate across multiple locations or where different parts of a placement require different scheduling details. Multi-location schedules allow a Primary Location and one or more Additional Locations, while Schedule Blocks provide a way to break a placement into distinct periods with their own dates, locations, shifts, preceptors, and other applicable details. 

Multi-Location Scheduling

• Assign a Primary Location and one or more Additional Locations to a schedule, giving sites a complete view of where a placement may take place. 
• Location hierarchy is retained wherever locations are displayed, making it easier to distinguish the different locations and their associated departments or units. 
• Preceptor selection accounts for the Primary and Additional Locations, helping sites assign the appropriate preceptors based on location. 

Schedule Blocks for Complex Placements

A Schedule Block is a distinct segment of a placement that defines the scheduling details for a specific portion of the overall placement.

• Sites can enable Schedule Blocks when different portions of a placement vary by date, location, preceptor, shift, or days of the week. For group schedules, blocks can also be assigned to specific group members. 
• Each block can have its own dates, location, preceptor, shift, and applicable members, allowing a single placement to represent multiple rotation periods without creating separate schedules. 
• Blocks are visualised in either a List View or Calendar View, making it easier to understand how the placement is structured across its duration. 
• Schedule Blocks can be configured while creating Direct Slots under an availability, during Direct Schedule creation, during Request Review, or added later from the Individual or Group Schedule drawer.

Schedule Management and Consistency

• Parent-level schedule details continue to provide the overall schedule summary, while Schedule Blocks provide the detailed breakdown of the placement. 
• Changes to parent-level locations, preceptors, shifts, dates, or other schedule details automatically keep applicable Schedule Block information aligned. When a change affects existing block details, the impacted fields are highlighted so sites can review and update them. 
• Schedule grids and drawers clearly identify schedules with Schedule Blocks and display Primary and Additional Locations, with detailed information available through the Schedule Block views. 

Direct Scheduling

• Select a Primary Location and one or more Additional Locations when creating placements through Direct Slots or Direct Schedules. 
• Use Schedule Blocks when different parts of a placement require different dates, locations, preceptors, shifts, or days of the week. 
• For group placements, Schedule Blocks can be assigned to all group members or specific students, based on their rotation. 
• Schedule Blocks are supported for Individual, Group, and ACE schedules, helping sites structure complex placements without creating separate schedules.

Visibility Across Placement Workflows

• In the Schedule Grid, a Schedule Blocks label appears in the Schedule Duration column; clicking it opens a read-only view of the block specifications for the schedule.
• For group schedules, a Schedule Blocks label is also shown for each student or instructor, allowing you to view the blocks specifically assigned to that member.
• Schools and Clinical Instructors can view the configured multi-location and Schedule Block information in read-only form, so everyone involved in a placement can understand where and how the placement is structured. 
• Student- and instructor-specific views show only the Schedule Blocks assigned to them, making it easier to understand their schedule routine and how they need to rotate across the specific blocks within a group placement.

Reporting and Export

• Multi-location information is carried into schedule grids and exports, including Primary and Additional Locations and their hierarchy. 
• Schedule Blocks are identified in schedule duration information, while the underlying schedule details remain available for reporting and downstream workflows. 

Together, Multi-Location and Schedule Blocks give sites the flexibility to represent real-world placements more accurately, while keeping scheduling, visibility, and downstream workflows aligned around a single schedule.

Multi-Location and Schedule Block Support in Schedule Calendar

The Schedule Calendar has been upgraded to provide a clearer, more comprehensive view of group schedules, multi-location placements, and Schedule Blocks.

• Group schedules now appear as a single cluster card that brings together group members, including students and instructors, along with other group details such as location and shift. 
• Existing search and filters continue to work at the individual student-schedule level. When a student schedule matches the selected criteria, the corresponding group cluster card is displayed. 
• For schedules with Additional Locations, all associated locations are displayed on the calendar, and users can search or filter schedules by any of those locations. The Primary Location remains distinguished from Additional Locations. 
• For schedules with Schedule Blocks, the calendar displays the schedule based on each block's specific details. A separate card is shown for each block, with the Block Name displayed as a label and the card positioned according to that block's dates, timing, location, days, and other applicable details. 
• Each block-level card displays only the details applicable to that specific block, providing a clear view of how the placement is scheduled. 
• Summary numbers and statistics continue to be calculated at the schedule level, rather than separately for each Schedule Block. 
• Onboarding status is available directly from the Individual Edit Schedule and Group Edit/Group Detail drawers, with an option to open the corresponding Onboarding view in a new browser tab. 

This upgrade gives users a more accurate calendar view while making group schedules, multiple locations, and block-level scheduling easier to understand and manage.

Multi-Location and Schedule Blocks: Role-Based Access

Multi-Location and Schedule Blocks now work with the existing role-based access controls, so sites can see the full placement details while still ensuring users can only make changes within their assigned location scope.

• Site Admins with full access can view and manage all locations and Schedule Blocks. View-only admins can see all information but cannot make changes. 
• Location Coordinators can continue to see schedules they already have access to, including all Primary, Additional, and block-level locations—even when some locations are outside their assigned scope. 
• When creating or configuring a schedule, Location Coordinators can select only locations within their assigned scope and valid for the selected discipline and specialisation. 
• When editing an existing schedule, locations within the coordinator's scope remain editable. Locations outside their scope are shown as read-only. 
• A Schedule Block assigned to a location outside the coordinator's scope is fully read-only, including its details and delete action. This prevents users from unintentionally changing a placement they are not authorised to manage. 
• Discipline Coordinators continue to work across locations within their assigned discipline and can manage the locations and Schedule Blocks associated with schedules in their discipline scope. 
• These access rules apply consistently across Request Review, Direct Slots, Direct Schedules, and Schedule Management. 

This ensures that multi-location placements remain fully visible for context while editing access continues to follow each user's existing role and location permissions.

Multi-Location: Impact on Onboarding Requirements and Activities

Multi-Location Schedules now ensure that site-specific onboarding requirements and activities are considered for every location associated with a placement.

• Requirements, ongoing activities, and off-boarding activities configured for the Primary Location or Additional Locations are generated for the schedule. 
• If the same requirement or activity applies to multiple locations, it is generated only once. 
• Location-specific requirements and activities for a schedule are based on the Primary Location and all Additional Locations selected for the schedule, regardless of how the Schedule Blocks are configured.
• When locations are added, removed, or changed, the existing regeneration process keeps the applicable requirements and activities aligned with the schedule. 
• Existing compliance tracking, approvals, notifications, dashboards, and reporting continue to work as before. 

This helps sites ensure that students and other placement participants complete all requirements applicable to the locations where the placement takes place.

Multi-Location: Impact on Search and Filtering

With Multi-Location Scheduling, schedule search and filtering now considers all locations associated with a schedule, not just the Primary Location.

• Search by Location now returns schedules when the searched location is either the Primary or an Additional Location. 
• Location filters now include schedules associated with the selected location as either Primary or Additional. 
• Location Group filters also consider Additional Locations, so schedules are included when any associated location belongs to the selected group. 
• Preceptor Search continues to work as before while also considering schedules where the relevant preceptor is associated through the schedule's expanded location or Schedule Block configuration. 
• These updates apply across the relevant schedule views, so Site users can find schedules based on any location associated with the placement. 
• Existing access permissions continue to determine which schedules and locations users can access. 

This makes it easier for Site users to find schedules regardless of which location within a multi-location placement they are searching for.

Multi-Location: Impact on Notifications

With Multi-Location Scheduling, existing schedule notifications now provide complete location information and use all locations associated with a schedule for notification routing.

• Key schedule-related email notifications now display the Primary Location and all Additional Locations, with the Primary Location listed first.
• Location Coordinators receive schedule notifications when the Primary or an Additional Location falls within their assigned location scope, and the schedule is visible to them based on existing RBAC rules. 
• Changes to Schedule Blocks, including adding, editing, or removing a block, use the existing Schedule Updated notification. 
• Changes to Additional Locations on an approved schedule also trigger the existing Schedule Updated notification. 
• NCD changes on pending requests continue to use the existing Request Updated notification. 

This ensures Site users receive relevant schedule updates while maintaining existing notification preferences and access controls.

Non-Consecutive Dates and Multi-Location Support in Request Calendar

The Request Calendar now provides clearer visibility into requests and approved schedules that use Non-Consecutive Dates and multiple locations, helping sites understand when and where placements are scheduled.

• Pending Review and Review In-Progress requests display only the Non-Consecutive Dates requested by the school.
• Approved requests display the Non-Consecutive Dates approved by the site, including any changes made during review.
• Location search and filtering use the Primary Location for pending requests and include Additional Locations once the request is approved.
• For approved schedules, the detail popup displays the configured Non-Consecutive Dates and Additional Locations.

This gives sites a more accurate view of requested and approved placement dates and locations directly from the Request Calendar.

Post-Placement Onboarding Review and Compliance Tracking 

Sites can now continue reviewing onboarding documents even after a placement has ended. This provides greater visibility into post-placement compliance activity and makes it easier to identify when compliance was achieved after the placement completion date.

• Reviewers can review, approve, or reject onboarding documents after the placement end date. 
• The Date Became Compliant is displayed in the Schedule List and highlighted when compliance was achieved after the placement ended. 
• Onboarding Details show the compliance date and individual requirement approval dates, with post-placement dates highlighted for easy identification. 
• Information icons provide additional context when compliance or requirement approval occurred after the placement end date. 
• The Date Became Compliant is also available when exporting the Schedule List. 

This enhancement gives sites better visibility into post-placement onboarding activity and helps track when students achieved compliance in relation to their placement dates.

Multi-Location Support in Reports

Reports now provide clearer visibility into schedules associated with multiple locations, making it easier to understand primary and additional location assignments while preserving the existing location hierarchy.

• Primary and additional locations are clearly identified in impacted reports, with the hierarchy maintained across Level 1, Level 2, and Level 3 columns. 
• Multiple additional locations are displayed together while retaining their applicable hierarchy. 
• Single-location schedules continue to display as before, without a Primary label. 
• Schedule-Level Summary and Comprehensive Request reports now identify Schedule Blocks and Non-Consecutive Dates, with applicable dates available on hover. 
• Location search, filtering, and exports reflect the updated multi-location information. 

This enhancement gives sites a more complete and consistent view of schedule locations across reports.

Multi-Location Support in Dashboards 

Recent Activities across the site dashboards now present location and schedule information in a more concise and consistent format, making it easier to understand activity context at a glance.

• The primary location is displayed first, with additional locations shown using the +N more format. 
• Hovering over +N more displays the complete location hierarchy in the correct order. 
• Group or Individual is now shown at the beginning of schedule and slot request activity descriptions instead of as a bracketed suffix. 
• These updates are applied across Schedule Overview, Slot Requests Management, and Home Dashboard Recent Activities. 

This enhancement keeps Recent Activities clean and readable while providing quick access to complete location and schedule information when needed.

Export Personnel List

Sites can now export the Personnel list as a real-time report, making it easier to work with personnel information outside Exxat One.

• Export the personnel grid with key identity, contact, address, access, role, location, discipline, and account audit information. 
• Assigned locations and disciplines are included as comma-separated values when a person has multiple assignments. 
• The export reflects the current grid view, including applied filters, search, and sorting. 
• Personnel status and system access are included in the export, along with details such as Added By, Date Added, Invite Sent Date, First Login Date, and Last Active Date. 
• The National Provider Identifier (NPI) is included when captured for the site. 

This enhancement gives sites a convenient way to access and manage a complete, up-to-date export of their personnel information.

Non-Consecutive Dates and Multi-Location Support in Request Calendar

The Request Calendar now provides clearer visibility into Non-Consecutive Dates, multiple locations, and Schedule Blocks, based on the request status.

• Pending requests display the Non-Consecutive Dates requested by the school, while approved schedules show the dates approved by the site.
• Schedule Blocks appear only on their defined dates, with gaps between blocks left empty.
• Location search and filtering use the Primary Location for pending requests and include Additional Locations once approved.
• The detail popup shows Non-Consecutive Dates and Additional Locations, with additional details available through +N more.

This provides a more accurate view of placement dates, locations, and scheduling periods directly from the Request Calendar.
