Time-Based Applicability for Compliance Requirements
Clinical sites often have seasonal or time-bound requirements (e.g., flu vaccination), which previously had to be applied to all students regardless of relevance, leading to unnecessary work and manual intervention.
With this update, Exxat One now supports time-based applicability for onboarding, ongoing, and offboarding requirements.
- Sites can configure a start date and an optional end date for a requirement.
- The system automatically determines applicability based on overlap with the placement duration.
- Only active and applicable requirements are assigned and impact compliance and alerts.
- Historical data is retained for audit and reporting
- Configuration can be enabled via Exxat support
This ensures students only complete relevant requirements while improving accuracy and reducing administrative effort.
Flagged for Hire Visibility Expanded
The Flagged for Hire indicator helps sites quickly identify students marked for re-engagement. Previously, this visibility was limited, making it harder to use this information effectively across workflows.
With this enhancement, the “Flagged for Hire” tag (with count) is now visible in more key areas, improving awareness and decision-making.
- The tag is now visible directly in the Schedules grid for quick identification
- Added to the Schedule-level Summary Report for better reporting and export
- Continues to be available in student profile and onboarding views
This ensures flagged students are easier to identify across workflows, helping sites make faster and more informed placement decisions.
Schedule Summary Report Enhancements
Building on the earlier Flagged for Hire visibility improvements, the Schedule Summary Report now provides deeper insights to support better decision-making and tracking.
- Added the Flagged for Hire filter for quick identification of tagged students
- New columns for Flag for Hire count and hiring remarks for better context
- Flag data is consistently shown across all placement rows for a student
These enhancements improve reporting depth, making it easier to analyse hiring signals and employee status directly within the report.
Enhanced Location Hierarchy in Report Exports
To improve clarity and usability of location data in reports, exported files now provide a more structured view of location hierarchy.
- Reports now include four location-related columns in exports:
- Full location (with hierarchy)
- Level 1 (Parent location)
- Level 2 (Department)
- Level 3 (Unit)
- Enables easier filtering, sorting, and analysis of location data in Excel
This enhancement makes it simpler to understand and work with hierarchical location data outside the platform.
New Activity & Requirement Response Report
Previously, visibility was limited to requirement status, making it difficult to review actual student submissions.
This release introduces a new Activity & Requirement Response Report that provides a detailed, exportable view of all submitted responses across onboarding, ongoing, and offboarding.
- View form-level student responses for selected requirements or activities
- Covers onboarding, ongoing, and offboarding in a single report
- Includes student, schedule, and status context for better analysis
- Supports filters before generation and search/sort after generation
- Fully exportable to Excel with all response data
This enables more accurate compliance tracking, audits, and detailed operational insights.
Discipline-Based Program Type Standardisation
Program Types can now be selected only in the context of the chosen Discipline, ensuring accurate and consistent data across site workflows.
- Program Types now dynamically update based on selected Discipline(s), showing only applicable options for each discipline
- Introduction of a new standardised set of Program Types: Associate, Bachelor's, Master's, Doctorate, Certificate, Pre-Licensure, Post-Licensure, Paramedic, Emergency Medical Technician
- These program types are now accurately mapped and enforced based on the selected discipline, preventing incorrect selections
- Program Type is now mandatory across key site workflows (availability creation, request review, scheduling, direct slots)
- Added as a column and filter in availability, requests, and schedules
- Display updated to “Program Type (Discipline)” format for better clarity
- Existing data is aligned to the new standardised structure
This improves data accuracy, prevents incorrect selections, and enhances reporting across site operations.
Revamped Request Review Experience
Reviewing and approving slot requests previously required manual calculations and lacked clear visibility into what was being approved, often leading to errors and inefficiencies.
This update introduces a completely redesigned request review experience, making approvals more intuitive, accurate, and guided.
- Clear, real-time comparison between what the school requested and what you are approving, helping you review and make decisions with full context
- Interact directly with requested slots in a clear grid view, showing slots with students and slots with no student assigned. Select the required slots as needed for approval, with all slots pre-selected by default to prevent missed or incorrect approvals
- Support for approving additional slots directly within the flow
- Real-time availability capacity visibility with progress indicators and alerts to avoid over-approval
- Improved layout with a focused review section and compact availability details
- Better handling of student-to-slot association, eliminating duplicate or incorrect approvals
- Confirmation prompts for key actions like approve and decline
- Clear read-only view for approved requests, showing finalised details in a structured format so you can easily review what was approved without confusion
This enhancement simplifies the approval process, reduces errors, and gives sites better control and visibility while managing requests.
Weekly Schedule Management Digest
Sites can now stay on top of upcoming schedules with a dedicated weekly digest focused on readiness and compliance.
- Weekly email digest covering schedules starting in the next 30 days
- Summary view highlighting:
- Total upcoming schedules
- Schedules without assigned students
- Schedules not fully compliant
- Detailed Excel report with:
- Schedules requiring student assignment
- Non-compliant schedules with onboarding status
- Direct “View” links to take action from the platform
- Smart behaviour:
- Only includes relevant schedules (no empty data)
- Items automatically drop off once assigned or compliant
- Configurable under Digest Notifications (email-only)
- Available only for Site Admins
This helps sites proactively track readiness, follow up on pending actions, and ensure schedules are fully prepared before start dates.
Additional Request Fields for Direct Slots (Individual Availability)
Previously, additional request fields were only supported for group availability, limiting flexibility when assigning direct slots under individual availability.
This enhancement brings consistent support across both individual and group workflows, allowing sites to capture relevant information more effectively.
- Additional request fields are now available while assigning direct slots under individual availability
- Fields configured at the availability level are consistently shown across both individual and group flows
- These fields remain optional and do not block slot assignment
- “The Total number of hours per student” is now consistently visible in the schedule drawer whenever configured under the corresponding availability
- Field values are shown if provided, or remain empty if not filled
This ensures a more consistent experience and gives sites the flexibility to capture important details without disrupting workflows.
Hover Labels for Collapsed Navigation
When the left navigation is collapsed, identifying menu icons requires expanding the menu, slowing down navigation.
- Hovering over icons now shows menu labels as tooltips
- Enables quicker navigation without expanding the menu
- Tooltips appear only in collapsed mode and remain hidden when expanded
This makes navigation faster and more intuitive for site users.
