A new Role-Based Access Control (RBAC) experience simplifies personnel provisioning and access management with self-service role assignment, user lifecycle management, and improved visibility into account activity. The Schedule Calendar has been completely redesigned with dedicated Month, Week, and Day views, powerful filtering, and actionable insights to provide a more intuitive way to monitor and manage schedules. Simplified Personnel Access Management with Role-Based Access Control (RBAC)
Managing personnel access is now simpler and more efficient with the introduction of Role-Based Access Control (RBAC). Site administrators can now provision users, assign roles such as Site Admin, Read Only Site Admin, Location Coordinator, Discipline Coordinator, Location-Discipline Coordinator, and Jobs Admin, manage system access, and reactivate personnel directly within Exxat One. This reduces reliance on support while providing greater visibility into user access and account activity.
- Gain instant visibility into your workforce with new interactive personnel summary cards that display Total Personnel, Personnel with Access, Inactive Personnel, and Yet to Login users, with one-click filtering for faster access management.
- Manage personnel more efficiently using enhanced search and filtering options, including Role, Status, Designation, and System Access filters.
- Add new personnel through a guided workflow that allows you to grant system access, assign roles, configure location and discipline scope, review user details, and send invitations: all from a single experience.
- Grant or remove system access for existing personnel without creating duplicate records, making it easier to manage login access while preserving personnel information and role assignments.
- Quickly resend login invitations individually or in bulk to personnel who have not yet activated their accounts.
- View enhanced personnel information, including system access status, last login activity, and account status, directly from the Personnel list.
- Access a dedicated Personnel Profile page that provides a complete view of user information, assigned roles, locations, disciplines, coordinator groups, account activity, and audit details.
- Deactivate personnel when they no longer require access and reactivate them later while preserving their profile, role assignments, and historical information.
- Automatically notify users when invitations are sent, access is updated, access is removed, or accounts are reactivated, helping keep personnel informed throughout the access lifecycle.
With Role-Based Access Control (RBAC), Exxat One gives site administrators greater control over personnel management through a centralized, self-service experience. Administrators can now add personnel, assign roles, and manage user access directly within Exxat One—eliminating the need to contact Exxat Support or send emails to provision new personnel. The enhanced experience also improves visibility into account access and simplifies ongoing personnel administration.

Managing schedules is now more intuitive with a redesigned Schedule Calendar that provides a comprehensive visual view of placements across month, week, and day. The new experience combines flexible calendar views, powerful filtering, actionable insights, and quick access to schedule details, helping coordinators monitor activity and prioritize work more efficiently.
- Access a dedicated Calendar tab within Schedules, making it easy to switch between list and calendar views.
- View schedules using Month, Week, or Day layouts to plan placements at the level of detail that best fits your workflow.
- Quickly identify busy days with visual schedule summaries and overflow indicators that display additional schedules when a day contains more placements than can be shown.
- Monitor schedule activity through dynamic summary cards and busiest-day highlights that automatically update as you navigate between dates or apply filters.
- Filter calendar data using Location, Discipline, Shift, Experience Type, School, Onboarding Status, and Schedule Status, with filter selections retained when switching between calendar views.
- Open any schedule directly from the calendar or Insights panel to view and manage schedule details using the existing schedule side panel, providing a consistent experience across the platform.
- View daily schedules in a structured hourly timeline, making it easier to understand schedule distribution throughout the day while keeping complete schedule details visible.

Edit Schedule Details Throughout the Schedule Lifecycle
Sites can now update schedule details at any point during the schedule lifecycle, even after student payment has been completed or onboarding has begun. This enhancement provides greater flexibility to accommodate operational changes while ensuring onboarding requirements and compliance remain aligned with the latest schedule information.
- Edit schedule details regardless of student payment or onboarding status.
- Update both Individual and Group schedules throughout the schedule lifecycle.
- Changes to Discipline, Program Type, Location, Schedule Start Date, and Schedule End Date automatically re-evaluate applicable onboarding requirements and recalculate compliance.
- Receive an informational message when updating compliance-affecting schedule fields after onboarding has started, helping you understand how your changes may impact onboarding requirements and onboarding status.
- Existing Schedule Updated email notifications now include a reminder that schedule changes may affect onboarding requirements.
- Assigned Clinical Instructors also receive Group Schedule Updated notifications, ensuring all affected users remain informed of schedule changes.
- For schedules where payment eligibility is determined by Program Type, Program Type and Discipline remain non-editable after schedule confirmation to preserve payment configuration integrity.
By removing schedule editing restrictions while automatically updating onboarding requirements and compliance, Exxat One gives sites greater flexibility to manage schedule changes without compromising onboarding accuracy.
| Important: If a student has already completed payment for a schedule, the assigned student cannot be changed or removed. However, site users can continue to update other schedule details, such as Discipline, Specialisation, Location, Schedule Dates, and other supported fields, in accordance with the new schedule editing capabilities. |
Automatically Close Expired Availabilities Based on End Date
Managing availability lifecycles is now easier with automatic closure of availabilities past their end date. Exxat One automatically closes availabilities once their end date has passed, helping keep active opportunities up to date and reducing clutter for schools searching for placements. The manual close experience has also been improved to help prevent accidental closures.
- Availabilities are automatically moved to Closed status once their end date has passed.
- Automatically closed availabilities are no longer visible to schools in the Availability Map and availability search experiences.
- Closed availabilities remain editable and can be republished or unpublished through the existing edit workflow when needed.
- An informational tooltip next to the availability status within the availability page, explains that availabilities are automatically closed after their end date.
- When manually closing availabilities, the Close button displays the number of selected availabilities that will be closed.
- A confirmation dialog is now displayed before manually closing availabilities, allowing you to review and confirm the action before changes are applied.
By automatically managing expired availabilities and adding confirmation for manual closures, Exxat One helps keep opportunity listings current, reduces manual maintenance, and prevents accidental updates.
View and Manage Unfilled Slots in Group Schedules
Sites can now view, manage, and cancel unfilled slots directly within the Group Details drawer, making it easier to keep group schedules up to date while streamlining student assignment and unfilled slot management.
- View unfilled and canceled unfilled slots directly from the Group Details drawer using the new Show Unfilled Slots toggle.
- Assign students to unfilled slots without leaving the group.
- Cancel unfilled slots using the existing cancellation workflow, including cancellation reason capture.
- Reinstate canceled unfilled slots directly from the Group Details drawer.
- Continue messaging against unfilled slots directly from the group using existing messaging capabilities.
- Keep schedule updates synchronized between the Group Details drawer and All Schedules, ensuring consistent schedule status, cancellation details, reinstatements, and messaging across both experiences.

Filter School Partners by Discipline
Managing school partnerships is now easier with discipline-based visibility and filtering. Exxat One now displays each partner school's associated discipline and allows you to quickly filter your school partners to find the schools most relevant to your needs.
- View each partner school's Associated Discipline directly in the School Partners grid.
- Filter school partners using the new Discipline filter, with support for selecting one or multiple disciplines.
- Search for disciplines within the filter to quickly locate relevant school partners.
- View the Associated Discipline as a read-only field on the School Profile page for additional context.
- Continue using the new discipline filter alongside existing search and filtering options for more refined results.

Enhanced Request & Schedule Management Digest
The Weekly Request and Schedule Management Digest has been enhanced to provide a consolidated view of pending request aging, requests pending review, and schedules requiring attention in a single email. This helps sites quickly prioritise pending reviews, monitor request aging, and stay on top of upcoming schedule activities.
- The weekly digest now includes a request aging summary, categorising pending requests by how long they have been awaiting review.
- View a last 30-day request activity summary, including total requests received, approved, rejected, and currently pending review.
- Review requests pending your action directly from the attached Excel file, which includes a list of all requests received in the last 30 days that are currently pending your review, along with key details such as Availability, School, Requested Slots, Requested Duration, Discipline, and current status
- Easily identify requests with start dates in the next 30 days to help prioritize time-sensitive reviews.
- Open requests directly from the digest using Vew links that navigate to the corresponding request review screen.
- The digest is sent only when there are requests requiring review and remains enabled by default, with the option to manage notification preferences.
By combining request and schedule management into a single weekly digest, Exxat One helps sites stay informed, prioritise pending requests, and reduce the effort required to monitor placement activity.
Enhanced Cancellation Insights in the Schedule-Level Summary Report
The Schedule-Level Summary Report has been enhanced with additional cancellation details, giving sites better visibility into cancellation activity and improving reporting for operational and audit purposes. These enhancements help sites better understand cancellation patterns and identify who initiated each cancellation.
- View the Reason for Cancellation for each canceled schedule.
- See when the schedule was canceled with the new Canceled On field.
- Identify whether the cancellation was initiated by the Site or the School using the Canceled By field.
- View the email address of the user who performed the cancellation.
- Filter the report by Reason for Cancellation to quickly analyse cancellation trends.
- When viewing the report, the Cancellation Reason and any associated remarks are displayed together for easy reference.
- When exporting the report to Excel, the Cancellation Reason and Remarks are separated into individual columns. Similarly, Canceled By and User Email are also exported as separate columns, making it easier to filter, sort, create pivot tables, and perform detailed operational analysis.
With richer cancellation reporting and export capabilities, sites can more effectively analyse cancellation trends, support operational reviews, and make data-driven planning decisions.
Track Placement Progress with Approval and Confirmation Dates
The Schedule Level Summary Report now includes Date of Approval and Date of Confirmation columns, providing sites with greater insight into the placement lifecycle. These additional data points make it easier to understand how long schools take to confirm placements after requests have been approved.
- View the Date of Approval to see when a slot request was approved.
- View the Date of Confirmation to see when the placement was confirmed.
- Compare approval and confirmation dates to better understand placement turnaround times.
- Sort and filter reports using both date fields to analyse schedules across different time periods.
- Include both fields in exported reports for further reporting and operational analysis in Excel.
- Show or hide these columns using the report's column configuration options to personalize your report view.

Quickly Navigate to Student and Personnel Profiles from Reports
Reports are now more interactive, allowing you to quickly navigate to related records directly from supported reports. This enhancement reduces manual searching and helps you take action more efficiently.
- Click a Student Name to open the corresponding student profile.
- Click a Personnel Name to open the corresponding personnel profile.
- Profiles open in a new tab, allowing you to continue working without losing your place in the report.
- Navigation respects user permissions, ensuring users only access records they are authorized to view.
