What’s New in This Release

Smarter Auto-Selection for Dropdown Fields
When creating availabilities, managing requests, or working with schedules, users are often required to select values in mandatory dropdown fields even when only one valid option is available. To streamline these workflows, Exxat One now automatically selects dropdown values when only a single valid option exists.
- Automatically selects the only available value in applicable mandatory fields, including Discipline, Specialization, Location, Preceptor, Shift, and Days of Week.
- Supports workflows across Availability Creation and Editing, Direct Slots, Review Requests, Move Requests, and Schedule management screens.
- Dynamically updates dependent fields, such as automatically selecting a Specialization when only one option exists for the selected Discipline.
- Preserves existing validation rules while allowing users to modify or remove auto-selected values where applicable.
This enhancement reduces unnecessary clicks and creates a faster, more efficient experience across site-side scheduling, availability, and request workflows.
Track and Manage All Student Schedules from a Unified Experience
We're introducing a new All Schedules experience that provides sites with a unified view of student schedules across both Individual and Group placements.
Previously, tracking schedule activity often required navigating between multiple schedule views to understand placement progress, onboarding readiness, and student activity.
The new experience serves as the central destination for schedule management, giving sites greater visibility into student readiness and schedule activity throughout the placement lifecycle.
- A new All Schedules tab brings Individual and Group schedules together in a single view, allowing sites to manage all student schedules from one centralized workspace.
- Schedule-related dashboard widgets and summary cards now direct users to the All-Schedules experience, with the appropriate filters applied, creating a more consistent path from schedule insights to action.
- New “Needs Attention” cards highlight schedules that require immediate follow-up, including unfilled schedules, onboarding compliance issues, and cancelled schedules.
- The All Schedules experience now provides visibility into Schedule Status, Onboarding Status, Ongoing Activities, and Offboarding Activities for every student schedule, helping sites more easily track progress, monitor readiness, and identify required follow-up actions.
- Key status indicators provide direct navigation to the corresponding workflow, reducing the effort required to investigate schedule activity and follow up on onboarding items.

The Group Schedules experience has been completely redesigned to provide a more scalable and efficient way to manage group placements.
This release replaces the previous nested schedule structure with a streamlined group-first experience that improves visibility, simplifies navigation, and provides quicker access to the information sites need to support students throughout their placements.
- Group schedules now use a simplified overview experience that provides a clearer view of group placements, student participation, instructor assignments, onboarding progress, and overall schedule readiness.
- A new flat, group-first layout makes it easier to review and manage large volumes of group schedules without navigating through multiple levels of nested records.
- Group Schedule IDs, Group Names, Group Members, slot utilization, instructor information, onboarding status, and overall schedule readiness are now surfaced more clearly within the overview experience.
- New group-level schedule and onboarding indicators (Actionable) provide immediate visibility into student assignment progress, schedule readiness, compliance status, and outstanding actions that may require follow-up.
- New “Needs Attention” cards help sites quickly identify groups with unfilled slots, onboarding concerns, and cancelled schedules. Selecting a card automatically filters the grid to the relevant schedules, helping users move directly from insight to action.

Standardized Schedule Cancellation Reasons
We're introducing standardized cancellation reasons for Individual and Group schedules to improve consistency, reporting accuracy, and visibility into why schedules are being cancelled.
- Sites must now select a cancellation reason when cancelling a schedule.
- Standardized site-specific reasons are available, including capacity constraints, location closures, preceptor availability issues, compliance concerns, and school-requested cancellations.
- Users can optionally add additional context to support the selected reason.
- Schedule status displays now include the cancellation source (Site or School) and selected reason.
- Schedule Details include a cancellation summary showing the reason, cancellation date, and the user who cancelled the schedule.
- Cancellation reasons are now available in filters, exports, and reports for easier tracking and analysis.
Structured cancellation reasons help sites better understand operational challenges, improve reporting, and gain greater visibility into the factors affecting schedule availability and placement fulfilment.
Quickly Access Schedules from Approved Requests
We're making it easier to move from request approvals to schedule management by introducing a new View Schedules option within Approved Requests.
- A new View Schedules option is now available within Approved Requests.
- Selecting View Schedules takes users directly to the new All Schedules experience.
- The associated Request ID is automatically applied, displaying all schedules created from that request.
- Users can modify or clear the applied Request ID filter as needed.
- The experience supports both Individual and Group schedules, providing direct visibility into schedules associated with approved requests.
Sites can instantly view schedules generated from an approved request, making it easier to monitor schedule creation, track placement activity, and gain visibility into the students assigned to approved slots without performing additional searches.
Enhanced Schedule-Level Summary Reporting
We've expanded the Schedule-Level Summary Report to provide additional placement and coordinator information directly within the report, making it easier to manage schedules and access key contact information.
- The report now includes Rotation Number, Semester, Program Type, and Graduation Month & Year.
- Site users can now view Location Group Coordinator Name & Email and School Coordinator Email directly within the report.
- Coordinator names and email addresses can now be searched, helping users quickly locate relevant schedules and contacts.
- Program Type can now be used as a filter for more targeted reporting and analysis.
- The new fields are available in both the report view and exported reports.

Enhanced Availability Report Visibility
We've enhanced the Availability Report to provide greater visibility into availability publishing preferences, making it easier to understand who can view an availability, when it becomes visible, and how publishing is configured across different audiences.
- A new Publish Preferences column has been added to the Availability Report.
- The report now provides a consolidated view of publishing settings across:
- Public
- All Partners
- Tiered Partners
- Consortium Schools
- Tiered publishing configurations now display a summarised view of partner categories and publishing timelines directly within the report.
- Detailed publishing information is available on hover, including category-level publishing dates and due dates for Tiered Partner audiences.
- Publishing statuses such as Now, Scheduled, and Not Published are surfaced more clearly for improved visibility.
- Exported reports now include detailed publishing preference information, ensuring publishing configurations remain visible outside the platform.
Availability publishing can vary across multiple audiences, partner categories, and publishing schedules. These enhancements provide sites with a clearer view of availability visibility and publishing timelines, making it easier to manage publishing strategies, verify audience access, and understand how availabilities are being shared across the Exxat One network.
New School Contracts Report
We're introducing a new School Contracts Report that provides sites with a centralized view of contract information across partner schools, making it easier to monitor contract coverage, track contract status, and identify agreements that may require attention.
- A new School Contracts Report is now available for site users.
- View contract details across partner schools, including contract information, associated locations, program contacts, and contract dates.
- Quickly identify whether contracts are active, expired, open-ended, or tied to specific locations.
- New summary metrics at the top of the report provide an at-a-glance view of:
- Total Contracts

- Schools Missing Contracts

- Search, filter, and sorting options make it easier to locate and review contract records across schools and locations.

The new School Contracts Report gives sites greater visibility into contract status, coverage, and ownership, helping teams quickly identify expiring agreements, schools without active contracts, and location-specific contract relationships from a single reporting experience.
Export School Partner Information
We're introducing the ability to export School Partner information, making it easier for sites to access, review, and share partner school data outside the platform.
- School Partner lists can now be exported for offline review and reporting.
- Exports include key school information such as:
- School Name
- Website
- Address and location details
- School Category
- Contract counts
- Alias Names
- Program Contact information, including names, email addresses, and phone numbers
- Exported data provides a consolidated view of partner school relationships in a single file.
- Contact information for multiple program contacts is included within the export, improving visibility into school partnerships and communication channels.
Sites often need quick access to partner school information for operational planning, relationship management, outreach, and reporting purposes. This enhancement makes it easier to export and share school partner data, providing a centralised view of school details, contacts, and contract relationships whenever needed.
Program Type Reporting Enhancements
We're expanding Program Type visibility across multiple reports, making it easier to understand the academic programs associated with schedules, availabilities, onboarding activities, and slot requests.

Student Directory with Hiring Insights Report
We're introducing a new Talent Pipeline Report that helps sites track students with upcoming, current, or completed placements at their organization, making it easier to review student engagement, identify potential candidates, and support informed hiring decisions.
- A new Talent Pipeline Report provides a consolidated view of students who have current or completed schedules at your site.
- Gain visibility into a student's placement history, including total schedules, completed schedules: schedule durations, locations, disciplines, specialisations, program types, preceptors, and associated schools.
- Key hiring indicators such as Flagged for Hire, Flag for Hire Count, Hiring Remarks, and Employee Verification Status are surfaced in a single report.
- Easily search, filter, and sort report data to identify students based on hiring readiness, academic background, placement experience, location, preceptor, and more.
- Direct navigation to student schedules allows users to quickly review placement history and schedule details for individual students.
- Student experience data is automatically consolidated across placements, providing a clearer view of engagement and performance at the site.
The report helps site hiring and talent acquisition teams proactively identify and engage students as they approach graduation by providing visibility into graduation dates, placement history, and hiring indicators in a single view. By bringing student placement experience and hiring-related insights together, the Talent Pipeline Report makes it easier to identify promising candidates, track prior site experience, and support more informed hiring decisions.
Enhanced Requirement Status Filtering in Reports
We're expanding the Requirement Status filter in the Onboarding Requirement-level Detail Report to provide better visibility into requirements that are approaching expiration or have already expired.
- Two new Requirement Status filter options have been added:
- Expiring
- Expired
- Users can now quickly identify requirements that are nearing expiration based on the platform's existing expiration logic.
- Expired requirements can be filtered separately to help track outstanding compliance items.
- The new statuses can be selected individually or combined with existing statuses, including:
- Approved
- Get Started
- In Progress
- Pending Review
- Not Approved
- Multi-select filtering continues to work as expected, allowing users to view records matching any selected status.
- Existing export functionality remains unchanged and respects the applied filters.
Monitoring expiring and expired requirements is critical for maintaining compliance and preventing onboarding delays. By bringing these statuses directly into the Requirement Status filter, sites can more easily identify at-risk requirements, take timely action, and keep onboarding progress on track.
Enhanced Requirement Review Workflow
We're improving the onboarding review experience by providing greater flexibility for reviewers and clearer communication throughout the review process. Site users can now receive more accurate status updates and reviewer feedback when additional clarification is required.
- Requirements that were previously marked as Not Approved can now be moved back to Pending Review by reviewers in case there is an error.
- Reviewers can add comments when reverting a requirement to Pending Review.
- Reviewer comments are visible to site users and students/CI/schools, making it easier to understand what clarification or additional information is needed.
- Reviewers can now use the In Progress status to request additional information or clarification, with comments visible to the affected student, clinical instructor, or school user. Requirements marked as Not Approved can also be moved back to Pending Review, providing flexibility to correct review decisions when needed. Reviewers can manage requirements across the full review lifecycle, including:
- Pending Review
- In Progress
- Approved
- Not Approved
- Enhanced status management helps ensure requirements remain in the correct review state throughout the onboarding process.
When additional clarification is needed, requirements no longer need to remain in a Not Approved state unnecessarily. This enhancement improves communication between reviewers and site users, reduces confusion, and helps onboarding reviews progress more smoothly.
In-App Viewing for Requirement Templates and Samples
We're improving the onboarding review experience by allowing site users to preview requirement templates and sample documents directly within Exxat One. This makes it easier to access and review supporting documents without downloading files first.
- Templates and sample documents can now be viewed directly within Exxat One for supported file types.
- A new View option is available in addition to the existing Download option.
- Supported files open within the platform for faster review and reference.
- Unsupported file types display a preview-unavailable message and can still be downloaded.
- Download functionality remains available for all documents.
- The latest uploaded template or sample is automatically displayed when reopening the document.
Site users frequently reference templates and sample documents during onboarding reviews. In-app document viewing provides a more efficient review experience, reduces file downloads, and helps reviewers access information more quickly while completing onboarding workflows.
Improved Template and Sample Document Organization
We're enhancing the onboarding review experience by organising template and sample documents into separate sections. This provides greater visibility into requirement resources and makes it easier to distinguish between required templates and example documents.
- Templates and Samples are now displayed under separate headers within onboarding requirements.
- Template documents appear in a dedicated Templates section.
- Sample documents appear in a dedicated Samples section.
- Existing View and Download functionality remain unchanged.
- Sections are displayed only when relevant documents exist:
- The Templates section is hidden when no templates are available.
- The Samples section is hidden when no samples are available.
Previously, templates and samples were grouped together, making it difficult to distinguish between required documents and reference materials. This enhancement improves document organization, reduces confusion during onboarding reviews, and helps site users access the information they need more efficiently.
