1. Can I discover candidates outside of a job posting?
Candidate discovery will be available soon. For now, you can view a candidate’s full profile only after they have applied to your job post.
2. Who can access the Jobs module?
By default, Site Admins have access to the Jobs module.
Location Coordinators and Discipline Coordinators do not have access unless a custom Jobs Admin role is assigned.
To request a Jobs Admin role, please reach out to the Exxat Support Team.
Multiple users with the appropriate role (Site Admin or Jobs Admin) can manage the same job.
3. Where do I start after opening the Jobs module?
Once you navigate to Jobs, you can start by creating a job or viewing existing ones in the Jobs list. From there, you can manage postings, track applications, and review candidates in one place.
4. How does ATS integration work?
If your organisation uses an external Applicant Tracking System (ATS), you can request integration by submitting the ATS Integration Request form.
The process typically includes the following steps:
- Submit the ATS Integration Request form and provide:
- Primary point of contact details (Name, Email, Phone)
- ATS vendor name
- Estimated job posting volume
- Exxat reviews the request and contacts the provided point of contact with the next steps.
- After evaluating the request and confirming technical feasibility, Exxat coordinates with the ATS vendor and the site partner to finalise the integration approach.
- Exxat completes field mapping, testing, and activates job synchronisation, allowing job postings from the ATS to sync to the Exxat job board.
5. What are the core use cases of the ATS integration?
Job Data Access
Exxat can retrieve active job postings along with key metadata, including:
- Job title
- Job description
- Location(s)
- Speciality or discipline
- Employment type
- Job status (open or closed)
- Apply URL
Job Update & Sync Mechanism
The integration keeps job postings current when roles are:
- Updated
- Closed
- Removed
Apply Flow
Candidates are redirected to the ATS-hosted application experience to complete their application.
Exxat does not handle application submissions or store applicant data.
6. What are AI match classifications?
Candidates are categorised based on their fit for the job:
- Top Match – Highly aligned
- Strong Match – Good alignment
- Good Match – Meets basic requirements
These help you prioritise candidates quickly.
7. What are the best practices for creating an effective job post?
To attract the right candidates and improve application rates, ensure that your job post is clear, detailed, and transparent.
- Use a specific and descriptive job title (e.g., Physical Therapist – Orthopaedics).
- Select the correct employment type and provide the exact work location.
- Include the facility name if relevant.
Whenever possible, provide a salary range instead of a fixed amount, as roles with salary ranges tend to receive more applications. Ensure compensation aligns with market rates.
Clearly outline:
- Responsibilities
- Required qualifications
- Tools or systems used
Highlight what makes the role unique.
List benefits explicitly, such as:
- Health insurance
- PTO
- 401(k)
- Loan repayment
- Mentorship
- Relocation assistance
- Professional development support
You can also use AI enhancement tools to improve clarity and presentation.
8. Can I upload multiple jobs at once?
Yes. Bulk job posting is supported through a template-based import process.
You must complete the prescribed bulk import template and share it with the Exxat Support Team for processing.
Once validated, the jobs will be imported in Draft status, allowing you to review, edit, and publish them as needed.

9. How can I manage a job after it is published?
After publishing, you can continue to manage the job throughout its lifecycle using status controls and edit options.
You can:
- Edit job details at any time
- Move the job to On Hold to temporarily pause visibility
- Close the job once hiring is complete
- Reopen a closed job if needed
- Archive the job for record-keeping
- Clone the job to reuse it for another opening
All changes are applied immediately upon saving. Job status determines whether the posting is visible to students.
10. What does the candidate engagement funnel show?
It shows how candidates move through stages:
Views → Clicks → Applied → Under Review → Shortlisted → Hired
This helps identify drop-offs and improve hiring efficiency.
11. What are per-job AI insights?
Each job includes insights such as:
- Candidate match distribution
- Pipeline progression
- Recommended and returning candidates
These help you evaluate job performance and optimise hiring strategy.
12. What are the candidate stages and how do they work?
Candidates move through a structured pipeline:
- Applied
- Under Review
- Shortlisted
- Hired
- Rejected
You can move candidates step-by-step through these stages to maintain a consistent hiring workflow.
13. Can I edit a job after publishing it?
Yes. You can edit a job at any time. Changes are applied immediately after saving.
14. Can I temporarily pause a job without closing it?
Yes. You can move a job to On Hold. This temporarily hides the job from students without permanently closing it.
15. Can I change a job from Closed back to Active?
Yes. Closed jobs can be reopened and moved back to Active status.
16. Can I duplicate a job for another location?
Yes. You can use the Clone option to copy an existing job and update the location, compensation, or other details before publishing.
17. Can I restrict a job to a specific school or group of students?
No. Jobs are published publicly to all students once student access is enabled.
18. Can I move candidates directly to any stage?
No, candidates follow a sequential flow. You can only move them to the next stage, ensuring a structured evaluation process.
