Dashboard 

You are automatically taken to the Dashboard when you log in. You can also to the Dashboard at any time. By clicking on from the list on the far left. You can always click on the hamburger icon  at the top to expand the icons with labels.

A Dashboard specifically for Site Administrators

From the Dashboard you can view up to date information and click each of the following for more information.

Summary Numbers 

A carousel highlighting the growth of the Exxat One network sits above summary numbers for easy access. Click any summary number to directly to the appropriate screen with more details.

Summary numbers displayed:

• Open/Active Availabilities: the count of published availabilities and the count of unique locations where those availabilities are published.
• Requests Pending Approvals: the number of requests which  are in the Request Pending or Review in progress states and the number of unique schools who have made these requests. Click View to review these school requests.
• Ongoing Schedules: the number of confirmed schedules happening at your site now.
• Upcoming Schedules: the number of confirmed schedules that are scheduled but have not started at your site.

Upcoming Schedules Overview

Provides a detailed breakdown of upcoming schedules with onboarding / compliance status. Use the filter at the top-right of this section to switch between schedules starting in the upcoming 30 days or all upcoming schedules.

This section includes two pie charts:

• Schedules Overview: Breakdown of upcoming schedules by their status:
  • Confirmed: Count of upcoming schedules with confirmed status.
  • Pending Confirmation: Count of upcoming schedules with  To be Scheduled or Not Confirmed status.
  • Cancelled: Count of upcoming schedules which are cancelled.

• Onboarding Overview: Breakdown of onboarding status for upcoming schedules:
  • Compliant: number of schedules where students have completed onboarding and are compliant.
  • Some Action Needed: number of schedules where students have started onboarding but still need to complete requirements.
  • Not Started: number of schedules where students have not started onboarding.
  • Not Applicable: Schedules where students have not been assigned yet.

Requests Overview — Request aging graph

A request-aging bar graph shows how long school requests have been pending since they were received. This graph displays the count of school requests in Request Pending and Review in progress and categorizes them into the following buckets:

• Less than 7 days
• 7–15 days
• 16–30 days
• Greater than 30 days

Recent Activities

A live activity feed shows recent events in Exxat One. The feed includes events such as:

• Availability created: availability was published.
• New School Request received: a school has submitted a slot request.
• Request Approved / Declined / Cancelled: status changes for school requests.
• Schedule Updated / Confirmed / Cancelled: schedule lifecycle events.

Quick Actions

Quick Actions provide one-click access to commonly used screens.  Click any of the following for quick access.

• Create Availability: add a new availabilities.
• View and Track Availability: the list of published availabilities.
• School Requests: the list of requests from schools.
• Schedules: view confirmed and upcoming schedules.
• Reports:  the reports area to run site-level reports.

Dashboard Views for Everyone

Total Active Availability

Displays the number of availabilities currently active and available, giving a snapshot of ongoing opportunities within all site locations.

Pending Slots Request

Displays the total number of slot requests that are pending.

Programs with Pending Slot Requests

Displays the lists of programs with outstanding slot requests, helping you identify which programs are waiting for slots to be allocated.

Non-compliant students

 Displays the total number of students who are not yet compliant with the onboarding requirements of their schedules.

Additional charts that display information on availabilities.

• • • Availability Performance Overview: Display how published availabilities are divided into those with requests and those without requests.
    • Availability Slots Overview: Displays how requests for published availabilities are divided into Planned, Approved, and Assigned status.
    • Onboarding Overview: Displays a summary of the onboarding of students that includes status details such as Compliant, Non-compliant, and Review in progress.
    • Availability Overview: Displays a summary of the availability that includes status details such as Published, Unpublished, and Closed.
    • Number of Availability by Location Groups: Displays published availabilities organized according to your location groups. You can combine multiple locations into a single group to get a consolidated view of the availability.
    • Site Details: Displays information about the site’s configuration, such as the total number of locations, location groups, and site personnel, giving an overview of the site’s setup. It also displays the total number of students scheduled for the clinical rotations at the site. 

Get Help and See Notifications

There are various ways to get help from in Exxat One, these are shown at the top for every screen.

• Click on the pink question mark to see Product Education, Product Updates, or Support Service.

• • Click on Product Education to see help documents.
  • Click on Product Updates to see notes about current and past releases.
  • Click on Support Service to begin a new help request or view your previous ones.

Click on the headset to start a live chat available 7:30am-4:30pm EST.

Click on the bullhorn to see Release notes.

Click on the bell to see your notifications.

Click on the Ask Leo to start a chat with Leo the virtual assistant.

View Map

View Map of availabilities: Displays an interactive map showing all your availabilities at the published locations. As you zoom in, the view breaks down into individual location pins, each displaying the number of availabilities published at that specific site.
