School Requests
The School Requests window provides a comprehensive view of all the school-related requests and their statuses. You can view the requests using grid view and board view. These views and components collectively enhance the management and tracking of school requests, ensuring that all relevant information is easily accessible and actionable.
View Options:
- Grid View: Allows you to see all the requests in a tabular format. This makes it easy to compare details and statuses for all the requests in a single view. You can quickly view multiple requests and performing bulk actions.
- Board View: Allows you to see all the requests in a visual representation organized by status or category. This Kanban-style board helps streamline the process of tracking the progress of requests through different stages and managing school requests, offering a clear and organized method to view each request’s progress.
Accessing Grid View
- Click Grid from the View as option on the right. On the Grid view, you can view the following details about school requests:

Availability Name: Identifies the specific availability for which the request has been made by the school. Click on the required availability name to view availability details. For more information, go to View and Track Availability section.
Note: If the availability is deleted, then Deleted tag is displayed for the availability. - Request ID: Specifies a unique ID for each slot request. This can be helpful in better tracking of the slot requests.
- Experience Type: Specifies the experience type of availability for which the school has made the request. This can be Individual or Group, depending on what you selected while creating the particular availability.
- School Details: Provides essential information about the school involved, such as School name and location.
- Requested Slots: Indicates the number of slots requested for availability, helping you understand the demand.

Requested Date: Shows the date on which the request was made, offering a timeline for prioritizing an event of first come and first serve.
Note: You can sort the school requests by the requested date. Click on the arrow icon besides “Requested Date” column header to sort the school requests in ascending, descending and normal order according to the date of request by the school. - Requested Date Range: Displays the duration for which the school made the request.

Approved Info: Displays the number of the slots that you have approved corresponding to the school request.
Note: You can sort the school requests by the approved slots. Click on the arrow icon besides "Approved Info" column header to sort the school requests in ascending, descending and normal order according to the number of approved slots given to the school corresponding to a particular request. - Student Profile Shared: Indicates the number of student profiles that have been shared by the school.
- Partner Category: Categorizes the partner (school) based on predefined categories, such as primary, secondary, or tertiary institutions.
- Status: Provides the status of the request, such as Request Pending, Approved, or Declined, allowing for easy tracking of progress.
- Actions Options: Provides Message and Review options for each request. For more information, go to Editing School Requests section.

Availability Name: Identifies the specific availability for which the request has been made by the school. Click on the required availability name to view availability details. For more information, go to View and Track Availability section.
Exporting School Requests
You can download the school request details in excel format directly from the School Requests screen. Simply click the Export button at the top right corner of the screen to export your data with all the relevant details included. A confirmation message will appear to let you know that the file is being prepared and will be available shortly.
Note: You can even apply searching and filtering to view relevant school requests in the grid view. You can search by the school name and filter by the partner category, status (slot request status) and experience type. Click on Reset to remove all applied filters.
Applying Sorting
- You can sort requests by the Availability Name, Requested Date and Approved Info columns, helping you quickly organize and prioritize the requests based on dates or the number of approved slots.
Note: Sorting can be done on one column at a time. - Click on the arrow icon besides “Availability Name” column header to sort the school requests in ascending, descending and normal order according to the alphabetical order of the availability name.
- Click on the arrow icon besides “Requested Date” column header to sort the school requests in ascending, descending and normal order according to the date of request by the school.
- To sort school requests by their start date, click the arrow icon next to the “Requested Date Range” column header. This will toggle between ascending, descending, and default order.
- Click on the arrow icon besides “Approved Info” column header to sort the school requests in ascending, descending and normal order according to the number of approved slots given to the school corresponding to a particular request.
Accessing Board View
- Click Board from the View as option on the right. On the Board view, you can view the following details about school requests:

Board View Layout: School requests are displayed in a board format, categorized based on their status:
- Pending Review: New requests sent by the school are pending to be reviewed.
- Review in Progress: Requests that are saved and not decided yet.
- Approved: Requests that have been approved and accepted.
- Declined: Requests that have been denied.

Cancelled: Requests that have been subsequently withdrawn.
- Request Cards: Each request is represented as a card on the board. Clicking on a school request card allows you to update details based on the status type. For more information, go to View and Track Availability section:
- Availability Name: The name of the opportunity or availability.
- Request ID: Specifies a unique ID for each slot request. This can be helpful in better tracking of the slot requests.
- Requested On: Displays the date of request.
- Requested Dates: Displays the duration for which the school made the request.
- Program Partner Category: The category of program partner related to the request.
- Number of Slots Requested: Total number of slots requested by the school.
- Number of Profiles Shared: Number of profiles shared by the school in the request.
- Number of Slots Approved: Total number of slots that have been approved. This is displayed for the requests in the Approved status.
- Number of Slots Declined: Total number of slots that have been rejected. This is displayed for the requests in the Declined status.

Message: Send messages directly to the school.
Note: For requests made for a group availability, the request card will have a Group header on it.Note: You can even apply search and filter to view relevant school requests in the board view. You can search by the school name and filter by the partner category and experience type. Click on Reset to remove all applied filters.

Board View Layout: School requests are displayed in a board format, categorized based on their status:

Calendar View:
You can view a structured calendar corresponding to the school requests across multiple availabilities and locations of the site.
Simply click on View in Calendar at the top right corner of the screen.
Select a location from the locations’ dropdown containing all the configured locations associated with the site. Click on Apply.
View the calendar showing the requests and schedules across applicable durations at the selected location. You can also filter by Unit/Department and Discipline and narrow down to view the relevant requests only.
The requests in “Pending Review” and “Review in Progress” status are displayed in the respective days of the calendar across the requested durations.
Click on the request on the calendar to open the “Request Details” drawer where you can review the school request and approve/decline it.
The approved requests are displayed as schedules in the calendar across the schedule duration.
Click on a schedule displayed on the calendar to open a panel where you can view the schedule details (Site name, location name, schedule duration, etc.) and the scheduled student.
If no student has been scheduled on the slots, you can even proceed to schedule student directly from the opened panel by clicking on the “Schedule Student” button and navigating to the schedule drawer where you can schedule the student.
Click on the onboarding status of the scheduled student to view the onboarding requirements’ fulfillment by the students.
Multiple Viewing Modes: You can easily switch between month, week, and day view to get a detailed or high-level overview of schedules and requests.
